Your Guide to the Authorized Agent Portal

The Authorized Agent Portal is your dedicated site to manage your relationships with Applicants who have acknowledged that you are their Authorized Agent. Use the portal to log in and act on their behalf to place orders, update their account information, and manage communications. The portal also provides multiple employees in your organization with the ability to help applicants manage their new profiles, as CGFNS now requires all applicants to have unique email addresses as their usernames. Here’s how to get started:

LOGGING INTO THE PORTAL

Access the Authorized Agent Portal on the CGFNS International, Inc. website, by hovering over the Login button at the top of the page and clicking Authorized Agent Portal.

You will be taken to the CGFNS Connect Login Landing page:

Click on the Authorized Agent (helping an Applicant) button to navigate to the new Authorized Agent Portal Login Screen.

From this page, you may perform the following tasks:

1. Register a new account

2. Reset your password if you already have an account

3. Resend Verification Emails

4. Login using a current username or registered email address.

Organizations must register at least one account to obtain an Authorized Agent ID and be able to access the portal, as well as the applicants associated with your organization’s Authorized Agents.

This Authorized Agent ID may be used by any Agent from your organization and they will have access to all applicants associated with that ID.

ACCESSING AN APPLICANT’S ACCOUNT

Agents may still access an applicant’s account from the applicant perspective by clicking on the blue button ‘Launch (username/email) Classic CGFNS Connect’.

  • view or update the applicant’s information
  • create and pay for a new order
  • process and pay for an existing order on behalf of the applicant.

USING THE PORTAL

Once the Authorized Agent has logged into the portal, they will see the Authorized Agent Portal main menu page.

From here, an Authorized Agent can perform the following actions (click for more information):

Contact Us can also be accessed outside of the Authorized Agents Portal in the CGFNS Connect – Login Screen listed under Navigation Options

Access to view new email messages by clicking “Correspondence (Emails / Letters)” button

And email messages can be viewed from Authorized Agents Options – My Messages -> Correspondence (Emails / Letters)

*If you have more than one email address being used by applicants, you must register each one of the shared addresses to see all the applicants associated with that email.
**You can search for an applicant by their CGFNS ID, Username, Name or email address.

A “Reset Show all” button will display after search for applicant name, email address or CGFNS ID

Once you locate an applicant, you can check to see if they have already registered in the new CGFNS Connect Applicant Portal and view the status of your Relationship with the applicant: Non-official or Authorized Agent.

If your relationship with the applicant is Non-official:

    1. Download the Authorization to Release Information form for the applicant(s)
    2. Send the form to the applicant for them to sign.
    3. Then the applicant must either:
      • return the signed form to you to be uploaded, OR
      • upload the signed form to CGFNS Connect themselves.

Applicants can be invited by Authorized Agent to register in CGFNS Connect

Click yellow “Invite to CGFNS Connect” button and enter applicant’s personal email address

An invitation to register at CGFNS Connect – from the Authorized Agent is sent to the applicant’s email address. Applicant then creates a login account for CGFNS Connect and successfully registers.

“Authorized Agents Reports – Authorized Agent Status Report” in Main Menu Overview with links to four reports:

  • My Applicants Report – includes non-official and official applicants
  • Authorized Agents Login Report – includes the Agents with access to Authorized Agent Accounts
  • Authorized Agent Order Status Report – includes official applicants with orders and the order statuses
  • Correspondence (Letters / Emails) Report – includes official applicants’ correspondence during the last 2 months

The Authorized Agent Portal is your dedicated site to manage your relationships with your CGFNS applicants. You may log in and act on their behalf to place orders and update their information. The portal also allows you to assist your applicants in managing their profiles under the new login process.

When you reach the Login Screen, select the ‘Authorized Agent (helping an Applicant)’ button to access the Portal.

For an applicant’s relationship with an Authorized Agent to be ‘Official,’ they must submit a completed ‘Authorized to Release’ form to CGFNS. This form is available in the Applicant Portal.

An Official relationship means Authorized Agents may log into the portal and act on their applicant’s behalf to purchase orders and update information.

When an applicant has an Authorized Agent’s email address entered on their account, but does not have a current ‘Authorized to Release’ form on file, CGFNS will consider it a ‘Non-official’ relationship until we receive a completed ‘Authorized to Release’ form.

Visit the ‘My Applicants’ section of your Authorized Agent Portal to view all your applicants, including those who had an account in the old portal. View a list of all applicants who have not registered for the new portal using “My Applicants (Not Registered).”

When an applicant is registered in the new portal, you will see a note under their email with the date they registered.

When an applicant registers for the new Connect using their personal email address, their status will change to reflect the date of their registration (see below).

Applicants must upload a completed ‘Authorized to Release’ form signed with your Authorized Agent ID through Contact Us.
